Canadian small businesses need more than a ledger they need software that understands GST, HST, QST and the CRA. These five made-in-Canada platforms automate the books, chase invoices, and file returns so that owners can spend their evenings somewhere other than a spreadsheet.
Accounting is the task most small business owners like least and can least afford to get wrong. It is also the one area where being Canadian genuinely changes the software requirements. Sales tax alone is a patchwork: GST federally, HST in five provinces, PST in British Columbia, Saskatchewan and Manitoba, and QST in Quebec. Businesses must register for GST/HST once taxable supplies exceed $30,000 over four consecutive calendar quarters, and returns must reach the Canada Revenue Agency on schedule and in the right format.
Software built for another market can be made to work. Still, it rarely tracks provincial rates natively, rarely maps to the forms the CRA actually wants, and rarely offers support during Canadian business hours. That gap is exactly what a generation of Canadian accounting platforms has set out to close and in 2026 they are doing it with a level of automation that would have seemed fanciful five years ago. Bank transactions categorize themselves. Receipts photograph and file themselves. In at least one case, the sales tax return submits itself to the CRA.
Below are five accounting platforms built in Canada for Canadian small businesses, each suited to a different stage and shape of company.
1. FreshBooks — Toronto, Ontario
Best for: service businesses that bill by project or by the hour
FreshBooks was founded in Toronto in 2003 to solve one problem exceptionally well: getting service businesses paid. More than two decades later, it serves customers in over 160 countries and remains the platform most often recommended to Canadian freelancers, consultants, agencies and contractors largely because it was designed with the Canadian context as the starting point rather than a later adaptation.
That shows in the details Canadian owners actually run into. HST, GST, PST and QST are handled natively with province-specific rates, reporting is built with CRA requirements in mind, pricing is quoted in Canadian dollars for Canadian customers, and support is available during Canadian business hours. The platform’s defining philosophy is that accounting software for service businesses should be organized around time and invoicing rather than inventory and manufacturing, and every design decision follows from that: time tracking is deeply integrated with billing, and project profitability is a first-class feature rather than an add-on.
FreshBooks has layered automation onto that foundation where the friction lives. Expense categorization learns a business’s spending patterns and improves with use. Mobile receipt scanning reads the vendor, amount, date and tax details from a photo and matches them to the right transaction. Invoice creation suggests line items drawn from previous billing to the same client, billable hours captured through the time-tracking flow automatically flow onto the correct project invoice, and automated late-payment reminders chase overdue accounts without the owner having to send an awkward email. Platform updates through 2026 have further strengthened reporting, including a refreshed Trial Balance report that aligns more closely with standard fiscal-year closing practice. With more than 100 integrations and an interface that assumes no accounting training, FreshBooks remains the cleanest invoicing experience in its category.
2. Wave — Toronto, Ontario
Best for: freelancers and micro-businesses starting out
Wave launched in Toronto in 2009 with a proposition that still sounds improbable: genuinely free accounting software, with no time limit, no invoice caps and no credit card required to begin. It worked. Wave grew to serve millions of entrepreneurs and freelancers worldwide and was acquired by H&R Block in 2019, which added meaningful tax capability to the platform while leaving the free core intact.
The Starter plan still covers unlimited invoices and estimates, plus proper double-entry bookkeeping, income and expense tracking, bank reconciliation, and financial reporting the complete set of basics a sole proprietor needs, at no monthly cost. Invoicing is polished and professional, with recurring invoices and payment reminders, and customers can pay by credit card, bank transfer or Apple Pay directly from the invoice. GST/HST tracking and reporting are built in, and Wave connects with the major Canadian banks and credit unions, including RBC, TD, Scotiabank, BMO, CIBC and Desjardins.
For businesses ready for more automation, the Pro plan at $19 a month adds automatic bank transaction imports, AI-assisted receipt scanning that extracts amounts, dates and vendor names from photos, unlimited collaborators so an accountant or bookkeeper can be invited in, automated late payment reminders and live support. Optional Wave Payroll handles employees and contractors, and the H&R Block relationship means Canadian and American users can connect their Wave data to tax filing services when the year closes. For a business in its first two years, it is hard to find a lower-friction way to keep clean books.
3. ReInvestWealth — Montréal, Quebec
Best for: owners who want bookkeeping and sales tax filing handled automatically
ReInvestWealth is the newest name on this list and, for Canadian tax specifically, one of the most interesting. Built in Montréal by a team of Canadian CPAs and engineers, the platform is designed for self-employed individuals and small corporations who want their books to close themselves rather than to become better at closing them.
In March 2026, the company achieved Canada Revenue Agency certification for GST/HST Internet File Transfer, confirming that its software is fully compatible with the CRA for preparing and electronically filing GST/HST returns a first for AI accounting software in this country. In practice, that means a business owner connects a sales tax account in their profile, and the platform generates returns from the books going forward, e-filing GST, HST and QST directly from the app. “This milestone marks another step forward in our mission to simplify accounting and reduce administrative work for business owners,” said co-founder and CPA Behdad Karimi.
The rest of the platform follows the same principle. The AI Bookkeeper works around the clock, categorizing transactions as they import and keeping the books current even when receipts are missing. Smart Shoebox lets owners upload receipts, which are then automatically matched to the corresponding bank transactions, keeping the file audit-ready. Online invoicing integrates with Stripe and reconciles payments, sales taxes and processing fees without manual entry. Unlimited bank connections, customizable automation formulas, tax estimation tools and smart recommendations based on cash flow round it out, and an accountant or assistant can be invited in with their own access. Reviewers consistently single out the team’s support as going well beyond what the price would suggest.
4. Kashoo and TrulySmall — Vancouver, British Columbia
Best for: micro-businesses that want simplicity above everything
Kashoo was founded in Vancouver in 2008 by a team that couldn’t find cloud accounting software built for the business owner rather than the bookkeeper. Nearly two decades on, it has become one of the most widely used online accounting apps in the world, with subscribers in more than 180 countries, and it has held to its founding idea with unusual discipline. While much of the category has spent a decade adding modules, Kashoo has stayed deliberately, purposefully simple.
The defining feature is the single working surface. Rather than navigating dozens of menus, an owner enters income and expenses and reconciles bank transactions from essentially one screen. Underneath that simplicity is real double-entry accounting with built-in safeguards designed to keep the numbers accurate, so the books an accountant receives at year-end are books they can work with.
The company now offers a family of products under the TrulySmall name, which you can use independently or together. TrulySmall Invoices covers the simplest needs with customizable templates. TrulySmall Expenses handles spending. TrulySmall Accounting, at $20 a month, is the full bookkeeping platform: connect a bank account, and machine learning categorizes, posts and reconciles transactions automatically, cutting out manual data entry. Optical character recognition handles receipts drop an image into the Inbox, and it is matched to the right transaction and one-click reporting produces real-time financials. GST entry has been automated for Canadian users, and mobile apps for iOS and Android keep everything available on the road. For owners who want more depth, unlimited users and advanced reporting, Kashoo Full sits above it at $30 a month. For sole proprietors and micro-businesses of one to ten people, it is a refreshingly honest fit.
5. Plooto — Toronto, Ontario
Best for: automating bill payments, approvals and collections
Accounting software records what happened. Plooto handles what happens before the record: paying suppliers and collecting from customers. Founded in Toronto in 2015, the platform is now trusted by more than 14,000 businesses across Canada and the United States, and it has become a fixture in Canadian accounting and bookkeeping firms managing payments on behalf of their clients.
The core idea is that payables and receivables should be one automated workflow, not a weekly ritual of cheque printing and manual data entry. Bills can be imported in a click and paid in another, with timed payments that let owners align outgoings with cash flow and instant payments that make early-payment discounts worth claiming. Custom approval chains mean the right person signs off before money moves, with complete logging and audit trails behind every transaction valuable governance for a small business that has grown past the point where the owner sees every payment. On the receivables side, Plooto supports credit card acceptance and recurring pre-authorized debit collections, so predictable revenue arrives without chasing.
Payment coverage is broad: EFT and ACH, credit cards, cheques, international transfers with foreign exchange, and CRA remittances. What ties it together is the two-way sync with the accounting platforms businesses already run, including QuickBooks, Xero and NetSuite, so payments post and reconcile automatically instead of being re-keyed. Plooto offers separate plans for individual businesses and for accounting firms, along with a 30-day free trial, and its network now reaches well over 150,000 payees. For any Canadian business where paying bills has quietly become a half-day-a-week job, it is the most direct fix available.

How to choose the right platform
Start with the part of the money cycle that is actually costing you time. If the bottleneck is getting paid, you want strong invoicing, estimates and payment collection. If it is everything after the invoice transactions to categorize, receipts to find, a sales tax return to prepare you want automation and filing, not more billing features. Owners often buy for the first problem and live with the second for years.
Then check three practical things. Sales tax: confirm the platform handles the provincial taxes you charge and produces the reports your accountant expects. Bank connections: make sure your financial institution is supported, since automatic imports are the single biggest time saver in any of these tools. And collaboration: your accountant or bookkeeper should be able to log in with their own access rather than receiving exports by email.
One last point worth making. Every platform here was founded and built in Canada, by teams who understood from the outset that a Canadian business has a CRA account, provincial sales tax obligations and a fiscal year-end that arrives whether the books are ready or not. Book a trial with two of them, run a real month of transactions through each, and choose the one that leaves you with the least left to do on a Sunday night.
